SUBMISSION GUIDELINES

The paper submission process for ISWCS2006 involves a number of steps that oral and poster presenters must follow:

1. Prepare your paper according to the required format

2. Convert it to an IEEE Xplore TM compatible file using PDF eXpress

3. Register for the conference

4. Upload your paper to the submission site. Submission requires a valid registration code which is your TrackChair number that will be unlocked after the registration is completed, and your PID Number which is generated by PDF Express. Click here to upload the paper.

5. Fill in your copyright form online via the TrackChair system

You must complete all the above steps prior to the deadline of 1 July 2006 . Failure to do so will result in your paper being withdrawn from the conference.

1. PREPARE YOUR PAPER

It is important that you conform strictly to the paper format to ensure compliance with the IEEE guidelines and speedy publication of your paper on IEEE Xplore TM . If your submission does not conform to the guidelines, it will be returned to you for amendment. If you are unable to update your paper in time to meet the publication deadline, it will not be published.

A template is provided here for Microsoft Word and here for LaTeX. For LaTeX, be sure to use the template's conference mode. See template documentation for details.

The maximum allowed page length for camera-ready paper is 5. Margins should be as follows:

  • US Letter or A4
  • Top margin: 0.75 inch (19 mm)
  • Bottom margin: 1 inch (43 mm)
  • Side margins: 0.625 inch (13 mm)

The preferred font is Times New Roman. Regular manuscript text should be 10-point type. Minimum point size for all text (including text in graphics and tables) is 4 points. The following fonts are also acceptable:

  • Arial MT
  • Courier, Bold Italic
  • Arial MT, Italic
  • Symbol
  • Arial MT, Bold
  • Times New Roman PS MT
  • Arial MT, Bold Italic
  • Times New Roman PS MT, Italic
  • Courier

Use only these fonts to provide a consistent look to all the papers in the proceedings. If you must use fonts other than those listed, they must be either PostScript or TrueType. Use of custom-made or hacked fonts is strictly prohibited.

Vector graphics are preferred for diagrams as they convert well to PDF. Take care that font sizes in diagrams do not go below 4 pt. Bitmapped images should be 300 dots per inch (dpi) at the size they appear in your paper. Images below this resolution will not render well in print; images above will be downsampled by us, but since doing this during PDF conversion does not produce the best results, you are advised to supply them at 300dpi. Do not use custom halftones (photographs) and pattern fills - these can cause problems for PDF conversion. Also, do not select "Smooth Graphics". This option often produces extremely large files that will take a long time to display and print. The Smooth Graphics option is usually found in the Page Setup Dialog box in Macintosh applications and some Windows application.

2. CONVERT IT TO AN IEEE XPLORETM COMPATIBLE FILE

We are using an IEEE tool, PDF eXpress TM , to ensure files submitted are IEEE Xplore TM compatible. This will allow you to convert your Word, LaTeX, or range of other source files into IEEE Xplore TM compatible files (this option is preferred); alternatively use PDF eXpress to check your own pdf files for compatibility.

1. Logging in depends on whether you have used the system before

First-time users:

Previous users, but using it the first time for a new conference:

Returning users:

a. Click “New Users - Click Here”.

a. Enter iswcs06 for the Conference ID, your email address, and enter the password you used for your old account.

a. Enter iswcs06 for the Conference ID, email address and password.

b. Enter iswcs06 for the Conference ID, your email address, and choose a new password. Continue to enter information as prompted.

b. When you click “Login”, you'll receive an error saying you need to set up an account. Simply click “Continue”. By entering your previously used email address and password combination, you will enable your old account for access to this new conference.

c. You will receive online and email confirmation of successful account setup.

c. Check that the contact information is still valid, and click “Submit”.

d. You will receive online and email confirmation of successful account setup.

2. For each conference paper, click “Create New Title”.

3. Enter identifying text for the paper (title is recommended but not required)

4. Click “Submit PDF for Checking” or “Submit Source Files for Conversion”

5. Indicate platform, source file type (if applicable), click Browse and navigate to file, and click “Upload File”. You will receive online and email confirmation of successful upload

6. You will receive an email with your Checked PDF or IEEE PDF eXpress-converted PDF attached. If you submitted a PDF for Checking, the email will show if your file passed or failed.

Submit your source file for conversion by clicking Try again , then Submit Source Files for Conversion

Resubmit your source file with corrections ( Try again , then Submit Source Files for Conversion )

Congratulations - Submit your IEEE Xplore -compatible PDF to the submission site as detailed below

Option 2

Read the PDF Check report, then click “The PDF Check Report” in the sidebar to get information on possible solutions

Submit a PDF by clicking Try again , then Submit PDF for Checking

 

Option 3

“Request Technical Help” through your account

“Request a Manual Conversion” through your account

 

Once you have converted your file using PDF eXpress TM , your PDF file will have a filename PIDxxxxx. If you checked your own PDF, the confirmation email will contain a similar number. This is called the ‘PID number', and is needed for upload to our site.

3. REGISTER FOR THE CONFERENCE

Registration is now opened

4. UPLOAD YOUR PAPER TO THE SUBMISSION SITE

Submission is now opened. In order to upload your paper to the site, you will need your TRACKCHAIR number of paper and the PID number of the paper. The submission site will check the final paper, and send a confirmation email on successful submission. It will also direct you back to the TrackChair site for you to complete the copyright form, which must be done on the paper will not be published.

5. FILL OUT YOUR COPYRIGHT FORM

The copyright form must be completed electronically (there is no printed copyright form). Once you have uploaded your paper, the submission site will automatically direct you to the website where you will be able to fill electronically the copyright form.

 

All the above steps must be completed prior to the deadline of 1 July 2006

Failure to do so will result in your paper being withdrawn from the conference
